How Much Should a Ministry Spend per Donor on a Thank-You Gift?

Shema olive wood mezuzah

Quick answer: Set the gift budget by donor level, not as one number for everyone. A keepsake from $5 works for broad appeals and first-time donors, a lasting home piece from $12 suits monthly partners, and a centrepiece from $25 is right for major donors. Keep the gift a small share of what each group gives, and spend more only where the relationship is worth more.

Why "how much" is the wrong first question

Most ministries start with a single budget: "We can spend $8 a gift." The problem is that your donors are not one group. A first-time $25 donor and a partner who gives $1,000 a year should not receive the same thank-you. If they do, you either overspend on the first group or underwhelm the second.

A better first question is: who is this gift for, and what do we want it to do?

  • Say thank you and make a good first impression (new and one-time donors)
  • Keep a partner giving month after month (sustaining and monthly partners)
  • Honour a significant relationship (major donors, board members, pastors)

Once you know the group and the goal, the budget becomes much easier to set.

A simple way to set your budget

Use three steps for each donor group.

1. Look at what the group gives. Use your average gift or annual giving per donor for that group.

2. Keep the gift a small share of that amount. The gift should feel generous, but it should never cost more than it is worth to the ministry. Your finance team or board can set the exact share that fits your policy.

3. Add packaging, insert card and postage. The unit price of the gift is only part of the cost. Plan for the box, a thank-you card and shipping to each donor.

Five ways to get more from the same budget

  1. Order once for the whole year. One order covering your year-end, Easter and partner campaigns usually gives a better unit price than several small orders.
  2. Add your message, not just your logo. A short insert card with a personal thank-you makes even a $5 gift feel personal.
  3. Choose gifts that are flat and light for mailing. This keeps postage down on large appeals.
  4. Use one gift per level. Three clear gift levels are easier to manage and easier to explain in your appeal letter.
  5. Request samples before you decide. Seeing and photographing the gift helps you choose well and gives you images for your appeal.
